Work Schedule: Monday to Friday 8:00 A.M. to 4:00 P.M. Cemetery Office Hours: Monday 12:00 P.M.– 4:00 P.M. Wednesday 12:00 P.M. – 4:00 P.M. Holidays: New Years Day, Monday after Easter, July 4th, Labor Day, Thanksgiving Day. Friday after Thanksgiving, Christmas Day, Day after Christmas. Vacation: After six months – 1 week 1 – 5 years – 2 weeks 6 – 14 year – 3 weeks 15+ years – 4 weeks Medical benefits provided; church contribution is $1500 per year. If medical benefits are declined, an additional $1500 / year will be added to the salary. I. Church Secretary: Perform secretarial duties directly supporting the Pastor, Youth Director, Session Members, and the Congregation of Lebanon Church, under the direction of the Pastor, who is the Head of Staff. Duties are to include: 1. Maintain all necessary records for the congregation. 2. Schedule all meetings for the congregation and other groups utilizing the church building. Keep calendar current. 3. Answer the telephone, greet visitors, and respond to all questions in a business-like manner. 4. Compile information and prepare reports as necessary. 5. Utilize computer processing equipment to accomplish all assigned duties. 6. Set up and maintain all church files and records. 7. Perform other work and duties, as assigned. 8. Maintain strict confidentiality. Not adhering to confidentiality is grounds for dismissal. 9. Maintain neutrality on issues being discussed or debated by the Session or by members of the congregation. 10. Be a sympathetic listener to concerns or views of members without becoming overly involved or taking sides. The above is in conjunction with the following detailed description of duties to be performed by the church secretary, but should not be seen as an all inclusive list. Daily: Telephone coverage Needs of Pastor, congregation, and church committees Sort mail – designate bills, place offering envelopes in proper box Schedule calendar for use of building Keep communication open between office and custodians, Nursery School, Dart, etc. Record of petty cash Keep church roll up-to-date – computer, card file, and envelop file Keep office running smoothly while Pastor and Youth Director are out. Weekly: Bulletin for traditional worship service and a second (contemporary) worship service, once established Children’s bulletin Letter to Daily News Letters to Sunday visitors (if any) Record Sunday attendance Monthly: Revelations – make list of current articles, meet with editor to discuss the chosen articles, type articles for layout and editing, assemble newsletter for printing, make copies, contact assembly crew to compile newsletter, take to post office for bulk mailing Twice Yearly: Prepare individual financial statements and distribute on Sunday morning – mail statements which were not picked up Yearly: Directory Annual Report Christian Servitors Handbook Christian Servitors Anniversary Dinner Program Summer’s Best Two Weeks Registration As Needed: Order office supplies Wedding bulletins (paid separately) Special bulletins – Holy Week, Christmas, funeral, etc. Send greeting card from office for sickness, birth and death Order sheaf of wheat for members who have died Keep office machines in working order Acknowledge contributions to Memorial Fund – keep memorial book up-to-date Prepare baptismal certificates – enter on card and computer file Prepare new member certificates – enter new information in card file and computer Designate envelope number for new members and send for envelopes Send Letter of Transfer – remove names from computer, card file, and envelope list Assist with creating and maintaining a church web site, as well as performing other work duties as assigned by the Head of Staff. II. Cemetery Office: Perform secretarial duties directly relating to the Lebanon Cemetery Corporation, under the direction of the President of the Cemetery Corporation. General office duties include: Responsible for handling the sale of cemetery lots Coordinating the interment Answering telephones Maintaining cemetery records Paying bills In general, try to keep a pleasant atmosphere in both offices. Keep information confidential that should be kept confidential. Dress should be appropriate for the church office, i.e. casual / professional. There will be a probationary evaluation at the end of the three month and six month period, and a biannual evaluation thereafter.
